Table Assignments:  Exhibitors have been selecting their table location on a priority basis.  We may need to make minor adjustments prior to the event to prevent direct competitors to be at adjacent tables. Current table assignments can be viewed Here.

 

 

Tables:  The tables are 8 foot long.  We will provide floor length table cloths. You may bring your own draping or banner to hang in front of the table if you like.  We have been given explicit instructions to not staple or damage the tables in any way or we will be forced to buy them from the RCC.

 

Chairs:  2 chairs will be provided at your location.  If you need an additional chair, please let us know no later than September 30th.

 

Displays:   This is a table top event- no booths.  The tables located along the outer wall (table #s 1-21) will have room for a small display or an easel at the wall.  The tables in the center of the floor will not have that room and are limited to using the table surface only. We may NOT attach anything to the wall.

 

Power:  Power will be available near your table.  Please bring a power strip if you need access to power.

 

Internet:  We are trying to get wireless internet in the exhibit area worked out with the RCC.  The RCC had plans to provide free wireless internet in all the public areas (lobby, anywhere there is a couch, etc…), but the IT contract fell thru and they are working that out with the new company.  We don’t know if that will be available for our event. Feel free to contact the RCC directly to get a status and plan accordingly.

 

Others Accessories: Other items are available (such as an easel) for an additional cost.  Let us know your needs and we’ll help you arrange it. Please let us know by September 30th.

 

Rules: There is no smoking or music in the exhibit area.  Again, we can’t hang anything on the walls!

 

Giveaways:  Feel free to bring free giveaways to have at your table.  That always goes over well.

 

Door Prizes:  We will have door prize drawings towards the end of the day.  It would be great if every vendor could donate an item(s) for the door prize pool.  Here are some nice suggestions, but you are not limited to these by any means:  USB memory sticks, IPODs, digital cameras, LCD monitors, complimentary software licenses, misc items with your company logo (hats, shirts, jackets, bags), etc…

 

In return for donating items to the door prize pool, we will be asking attendees to put their business card in the “door prize drawing bowl” if they would like to be considered for the drawings of donated items.  There will be a sign on the drawing bowl indicating that putting a business card in the drawing bowl will not only make them eligible for the door prize drawings, but will also make their information available to all exhibitors that donated items for door prizes.  After the event, the RTP Chapter will compile a list of attendees from the bowl and will distribute that list with all the contact info to all exhibitors who donated an item to the door prize pool. We cannot pass out attendee info without permission so bring a donation!

 

Advertising:  By exhibiting at PCB Carolina 2008, we will post your vendor info on our chapter website for 1 year.  This will give you good exposure within our local community and it will also give the attendees a place to find your contact information after the show.  We will also use this information for our program that we will hand out the day of the show.  The deadline to send Randy and Tony your information so it can be included in the show program will be September 23th.   Please send us the following information as soon as you can: Company name, company logo, contact name(s), phone number(s), email(s), and a summary of what your company provides in 100 words or less.

 

Shipping Items:    You may send items to the RCC, but there are limitations.  Items may arrive the afternoon before the event, or the morning of the event only.  Anything that arrives earlier than 3:00pm the day before the event (that would be Monday, Oct 6th) will be refused by the RCC.  They have too many events at this facility to manage deliveries.  If you do choose to send anything, please be sure to include a sign on the outside that states “Hold for PCB Carolina on Oct 7th,  ballroom 401A” and include your name and company!    Also, package your items well as the RCC can’t be responsible for any damage – this is a courtesy.

 

Dropping off items from your car: There is a loading dock at the RCC available where you can drop off items.  Your vehicle is limited to 5 minutes in that loading dock area.  We are coordinating with members of our local chapter to staff that area so you may drop off your items, and while you go park, we will take your items to your exhibitor location.

 

Nametags:   We will be printing nametags for the exhibitors.  Please send Randy and Tony a list of those that will be stationed at your table by September 30th, so that we can have those pre-printed and ready.

Time to the Airport:  It takes about 25 minutes to get from the RDU airport to the RCC/Hotels.  Please note that these hotels DO NOT currently have shuttle service to the RDU airport. Taxi service is available to and from the airport and there are rental car agencies at the airport as well.
